1. Overview

Lexo.ai ("Lexo", "we", "us", or "our") operates an AI-powered legal intake platform designed for Canadian law firms. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit our website or use our services. By accessing or using Lexo, you agree to the practices described in this policy.

2. Information We Collect

We collect information in the following ways:

  • Account Information: Name, email address, law firm name, and contact details provided when you register or request a demo.
  • Intake Data: Information submitted through Lexo's intake flows on behalf of prospective clients of your firm. This data is collected and processed at your direction as a data controller.
  • Usage Data: Log data, IP addresses, browser type, pages visited, and feature interactions collected automatically when you use the platform.
  • Communications: Emails, support requests, and feedback you send to us.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and improve the Lexo platform and its AI-driven intake features.
  • Communicate with you about your account, updates, and product changes.
  • Respond to support inquiries and troubleshoot issues.
  • Analyze usage patterns to enhance user experience and platform reliability.
  • Comply with legal obligations and enforce our agreements.

We do not sell your personal information or use intake data submitted through your firm's account to train our AI models without your explicit consent.

4. Data Processor Role

When Lexo processes personal information submitted through your intake flows on behalf of prospective clients, your law firm acts as the data controller and Lexo acts as a data processor. We process such data only according to your instructions and applicable law. As a law firm, you are responsible for ensuring that your collection and use of client intake data complies with applicable privacy legislation, including PIPEDA (or applicable provincial equivalents) and your professional obligations under the Law Society of your jurisdiction.

5. Data Retention

We retain account and usage data for as long as your account is active or as needed to provide services. Intake data processed on behalf of your firm is retained according to the retention settings you configure, or for a maximum period agreed upon in your service agreement. Upon termination, we will delete or return your data as required by applicable law or your agreement with us.

6. Data Security

Lexo employs industry-standard technical and organizational safeguards to protect your information, including encryption in transit (TLS) and at rest, access controls, and regular security reviews. No method of electronic transmission or storage is 100% secure; however, we are committed to protecting your data using commercially reasonable means. For details on our security practices, visit our Security page.

7. Third-Party Services

We use select third-party service providers to operate Lexo (e.g., cloud infrastructure, analytics, and communication tools). These providers are contractually bound to handle data securely and only as directed by us. We do not authorize third parties to use your data for their own purposes.

8. Cookies and Tracking

Our website uses cookies and similar technologies to maintain session state, understand how visitors use our site, and improve our marketing. You can control cookie preferences through your browser settings. Disabling cookies may affect some functionality of the site.

9. Your Rights

Depending on your jurisdiction, you may have rights regarding your personal information, including the right to:

  • Access the personal information we hold about you.
  • Correct inaccurate or incomplete information.
  • Request deletion of your personal information, subject to legal and contractual obligations.
  • Object to or restrict certain processing activities.
  • Withdraw consent where processing is based on consent.
